Specification-to-Delivery

A commercial lighting and delivery team handled long-cycle opportunities that moved between commercial and technical stakeholders, with the critical context living in email threads and personal trackers. Growth made consistent response quality harder to hold. We connected the pipeline to the technical work and to the delivery commitment.

The problem

The team managed long-cycle opportunities that moved between commercial and technical stakeholders, with critical context spread across email threads, exports, and personal trackers. Growth made it harder to hold response quality and project continuity from first inquiry to final delivery.

  • Sales and technical teams lacked a shared execution timeline
  • Specification context was hard to trace through delivery stages
  • Follow-up actions depended on manual reminders and informal ownership
02

What we built

First we modelled the whole flow, from lead qualification through technical documentation to delivery commitments — one timeline rather than a commercial one and a technical one.

Then a unified workspace connecting opportunity data, technical mappings, and stage-based automation for the handoffs where context used to fall out.

Then service-level routines, exception reporting, and standardised documentation handovers, so ownership is explicit at each stage.

03

What stuck

  • Teams aligned around one lifecycle view from opportunity to completion
  • Specification and delivery coordination became predictable
  • Communication improved through clearer ownership, internally and with clients
04

Impact

  • Cross-team response stopped lagging on missing context
  • Rework caused by incomplete handoffs dropped
  • Continuity held from pre-sales through to project execution
